RULES AND REGULATIONS FOR THE WORKING WOMEN'S HOSTEL

Tamil Nadu Working Women’s Hostels Corporation Limited, has developed hostels for working women across Tamil Nadu to provide safe, secure and affordable accommodation to all women from various sections of the society.

The Operations Managers (Hostels) will manage all the Hostel Managers and Facility Teams in each property across the state.

General Rules & Regulations for Working Women’s Hostel

The residents to consider the hostel as their home and should adhere to all the rules & regulations laid out that dignity of the hostel is maintained.
At the time of check in resident should bring original id proof which was given in Registration for validation.
Hostel manager reserves the right to allot the room/bed subject to the availability.
At the time of check in, an agreement will be made with the resident, which will be active during the period of their stay . The agreement processing fee should be borne by the resident
Confirmation for Reservation of rooms will be generated only 8 AM to 8 PM.
Prior information to be given to Hostel Manager for late night check in.
If a tenant has paid the rent but not checked-in their allotted room/bed for more than 15 days, the Hostel Manager reserves the right to modify / amend the bed to a different room of same category. Subsequently the belongings will also be shifted and notified to the tenant through mail.

Behaviour and Discipline

Residents are expected to display acceptable forms of behaviour anywhere within the hostel premises.
Residents to maintain reasonable noise level, be it talking or volume of the music system etc. So that no inconveniences are created for others in the campus.
Any untoward incidents or crime committed will be reported to the concerned authorities as per the law, the tenancy of the resident shall be terminated immediately, and they will have to settle all outstanding charges / dues applicable including forfeiture of unutilized period of rent paid.
Residents to be dressed appropriately in the hostel campus especially in common areas.
Tenants should be conscious that, they do not disturb the privacy of their co-resident in any form . Tenants may use common areas for Work from Home / Projects / Assignments / Video calls and the time may not exceed more than 11:30 pm for using the lights in the room.
Residents are not allowed to keep any weapons in their possession in the hostel premises, and possession and consumption of alcohols, cigars, cigarettes or any other form of narcotics or intoxicants are prohibited. If found guilty, ‘Force Check-out’ will be imposed by the Hostel Manager and legal action would be initiated by Operations Manager.
All Residents should maintain the decorum inside the hostel. Residents should use appropriate language and refrain from using foul languages. If found violating or being abusive, hostel manager reserves the right to evict the concern, to maintain a healthy environment in the hostel.

Up-keep of the Hostel

Residents are responsible for maintenance of the general, cleanliness of their rooms / beds, bathrooms, and common areas in the hostel campus.
A Resident should check the fittings & fixtures in her room at the time of occupying the room. If there are any deficiencies, it should be brought to the notice of the Hostel Manager. Similarly, all fittings & fixtures in the rooms should be in order while vacating the room.
Placing of baggage or unwanted items outside the room or anywhere in hostel corridors and common areas except the allotted rooms is not allowed, as it may cause obstruction to other residents.
Common Hostel furniture and fixtures are not to be moved from its existing position/place without the consent of the Hostel Manager.All the hostel articles issued to the residents must be returned to the Hostel Manager before the residents vacate their rooms.
Residents sharing common facilities within a room of the Hostel shall be liable for a joint payment towards the cost of repair or loss of facilities within the room in event of loss/damage of the facility. In no case such damage or loss will be levied on a single resident.
The Hostel Management reserves the rights to enter, inspect or to do spot checks the rooms if necessary to ensure efficient and proper use of the rooms.
Building repairs and maintenance is a continuous and planned affair and Hostel Manager reserves the right to open and enter any room while the resident is on leave to carry out such maintenance work. The same would be carried out in presence of the Hostel Manager.

Food & Beverage Services

All residents are encouraged to consume all food items only in the designated Dining hall. Taking the common cutlery and utensils provided by hostel to the room (including plates, spoons, bowls and glasses) is strictly prohibited.
In case a resident decides to order the food item from outside, they are advised to consume in the dinning hall only and avoid food spillage or wastage. It is also their responsibility to ensure that any leftovers are disposed of in appropriate dustbins. Furthermore, immediate consumption of food is highly advised, as a delay may impact the quality of food.
Cooking or reheating of food inside the room is strictly prohibited under all circumstances.

Housekeeping

Regular housekeeping is an important aspect to ensure cleanliness and hygiene is always maintained in the House. To ensure the same, cleaning of the room may be carried out in the absence of residents as well, so the residents are advised not to leave their valuables open and unsecured in their room. The residents must keep their valuables safely.
Please note, the services of the housekeeping staff cannot be utilized for any personal work. For example: no personal utensils or clothes will be washed by the housekeeping staff.
The house keeping services will be provided to room every alternate days.
The residents are expected to cooperate in the periodic (quarterly) pest control / fumigation / preventive maintenance activity.
Rooms to be maintained in tidy manner and garbage to be collected in dustbins. The housekeeping in charge will clear the same and dispose according to the regular garbage collection time.
Residents are expected to take utmost care and follow proper hygienic practices in disposing the sanitary napkins / wastes.

Usage of Electrical Appliances

Usage of appliances like heaters, coils, iron boxes or any other heating/cooking electrical gadget is strictly prohibited inside the room.
Residents found cooking using electric cookers, coffee makers, roti makers, heaters or any combustible material, will be considered a serious violation leading to a penalty.All such appliances shall be used only by the caterers.
While leaving the room premises, residents must ensure that they switch off all lights, fans, electrical appliances including ACs, heaters, geysers, mosquito-repellent machines etc.
In case of power being run on DG back-up, usage of electrical items especially ACs, geysers, washing machines, elevators etc. will be restricted. Management can also take the liberty of revoking the electricity access of these temporarily to conserve power backup.
Microwavable bowls / plates should be placed inside a microwave to avoid a hazardous situation. In case of doubt, please connect with the Hostel Manager for assistance.
Residents should refrain from overloading the washing machines, ensuring that clothes are unloaded immediately after usage. In case clothes are found lying unclaimed, Management staff will not be held responsible if misplaced.
Residents should avoid stocking up the fridge unnecessarily. The hostel manager/housekeeping staff reserve the right to get rid of any leftovers found in the refrigerator.

Usage of Washing Machine

The tenants shall wash their bed sheet covers and pillow covers by themselves during the period of their stay.
Resident shall use the washing machine on a "First come first serve basis",based on the enrolment made on the previous day.
Residents are refrain from overloading the washing machines, ensuring that clothes are unloaded immediately after usage. In case clothes are found lying unclaimed, Management staff will not be held responsible if misplaced.
The residents shall use detergents at their own cost. Should follow the right practices of using the washing machine.
If any violations/deviation are observed, Hostel Manager shall immediately stop the resident from using the washing machine.
If any damages or repair caused by the resident, penalty charges for any repair service would be imposed on the resident.
If the resident denies resolving the issue at the time of incident, the Hostel Manager shall deduct the amount at the time of Check-out from the security amount of the resident.
The washing machine should not be moved out its designated place.

Visitors

No male visitors are permitted in the hostel. The Hostel Management reserves the rights to evict any Residents who do not comply to the rules and regulations of the hostel.
Visitors are allowed into the visitor’s room area during the visiting hours only.
All visitors must register at the Security Counter/ Reception in the hostel and provide all details and documents for verification as requested by Management.
No visitor shall be allowed to enter the hostel's other areas/ rooms other than the designated meeting area.
Visitors are NOT allowed to use the hostel facilities, and not permitted to stay overnight in the Hostel.
The Technical staff/ Consultant authorized by Hostel authorities alone shall enter the rooms for doing any repairs and maintenance. No other person is allowed inside the rooms.
The visiting hours for the visitors at the hostel premises are between 09:00 am to 08:00 pm. No visitor would be allowed to enter the hostel premises other than the stipulated time.

Security

Residents are responsible for all their personal belongings and valuable items like mobile phones, laptops, computers, watches, cameras, gold/silver jewellery or any other valuables and money etc and should ensure that door and windows of their rooms are properly secured at all times. The Hostel Management is not responsible for any loss of personal items.
Tampering with any security or fire-fighting equipment is strictly prohibited. The resident responsible for such actions will be held responsible for the cost of restoring the damaged equipment.
Residents are not permitted to change rooms or sleep anywhere other than in their designated room.
Residents shall not hand over the keys of her room to anybody except the Manager/ of the hostel concerned.
Employment of a private servant is not allowed in the hostel.
Offering of payment / Tips, rewards, token of appreciation or gifts in any kinds for any services rendered by any staffs of hostel is not allowed.
Management has the right to share the entry-exit or leave data with the parents and authorities, if required under law.
The usage of the hostel’s wi-fi network is being provided as a service to the residents and shall be used consecutively.
Any cybercrime, indiscriminate imaging with mobile camera or digital camera, MMS etc will be taken very seriously and action shall be taken against residents found guilty of such activities.

Emergency

In case of emergency outside office hours, please contact the Hostel Manager / any other hostel authorities available at that point of time.
In case of emergency during hostel hours the parent / guardian would be informed about the same.

Payment & Cancellation Policy

All payments and refunds are made only via online.
Booking cancellation charges of 10% from security deposit amount will be deducted.
The tenant must raise the Check-out request 15 days prior to their actual check-out date.
Security deposit is fully refundable subject to clearance of dues, return of items issues at the time of on-boarding, no damages caused, Timely payments, Completion of 15 days' notice period. If the resident fails to meet above mentioned and the corresponding amount will be deducted.
10% deduction from Security Deposit amount is applicable if, tenant is given a ‘Force Check-out’ for any of the following reasons such as, ‘Breach of Rules & Regulations, violating safety and security procedures, involve in any type of harassment with the Hostel Manager / Housekeeping / Security Guard.
Additional penalty charges will be applicable which is equivalent to meet the replacement / repair cost for any of the damages / loss occurred to the amenity / facility.
If the resident has made an excess payment, it will be refunded along with the security deposit amount.
All Refunds would be processed within 5-7 working days post exit from the property to the same bank account from which the security deposit was made.
Payment link for 'Monthly rent' will be generated for every month and will be valid only for 7 days from the day it was sent to the tenant’s mail. If the tenant fails to pay the rent within 7 days after receiving the payment link, the Hostel Manager reserves all rights to ‘Force check-out’ the tenant. Refunds will be made after deducting a 10% from the security deposit and the rent for due days of the current month, which will be calculated on a pro rata basis.
For short stay ( Staying less than 15 days ) an advance amount of Rs. 1000/- will be collected from the tenant. Apart from the Security Deposit, rent will be also collected upfront.
Security deposit will be disbursed to the tenant within 7 working days from the actual check-out date.

First-Aid Facilities

First aid kit is available with Hostel Manager.
In case of any illness or medical support required shall be reported to the Hostel Manager immediately.
Resident to provide 2 phone numbers of family members/guardian to contact in case of emergency.

Hostel Facilities

With respect to COVID infection or any other communicable infection, it is advisable for the residents to take preventive measures like wearing masks, follow appropriate hand hygiene, and maintaining social distance in the hostel campus. To avoid spread of infection to others.
The Mattress/ bedsheets/ pillow with cover to be maintained by the resident herself during their stay and same should be returned good condition at the time of check out.
Laundry Area – Residents should always keep the area clean and dry. Keep the washing agents at the proper area provided.
Drying of clothes inside the room or in the common area is not allowed except in the designated areas.
Two-wheeler Parking facilities depend on the hostel locations and space availability.
Residents intending to park their vehicles shall take prior approval from the Hostel Manager.

Updates and Announcements

Any new updates and announcements will be posted on the notice board/website.
Residents are not allowed to fix any nails on the wall for any poster/painting/wall clock etc. within the room/hostel premise.

Termination of Hostel Facility

Hostel facility shall be withdrawn at any point of time without further consideration if the resident is misusing the facility or not following the rules and regulations of the Hostel.
‘Force Check-out’ for any of the following reasons such as, ‘Breach of Rules & Regulations, violating safety and security procedures, involve in any type of harassment with the Hostel Manager / Housekeeping / Security Guard or found involved in any illegal activity anywhere inside/outside the hostel.
The decision of Operations Manager and Hostel Manager will be considered as final and reserves the right to deny / withdraw facility for the residents at any point of time without prior notice. Any farther escalation, shall be made to CEO of the TNWWHCL.

Revision of Rules and Regulations

All residents shall abide by the rules and regulations herein mentioned.
The TNWWHCL reserves the rights to revise the Rules & Regulations, Terms & Conditions from time to time and will keep the residents informed of any changes in the form of memoranda and/or notices on the Notice Boards

Grievance Redressal Mechanism

Residents shall approach the concern grievance committee member as per the hierarchy displayed in the respective hostels, for any type of grievances or concerns.
Residents may expect an appropriate response from the grievance committee as per the timelines.
